Revised Ottawa Titans Policy on Late Registration and Refunds in the Competitive Programme

This is the Ottawa Titan’s policy on late registration and refunds (for any reason including medical) for athletes in the competitive water polo programmes of the Ottawa Titans Water Polo Association.

Regular Program Start and End Dates:

The Ottawa Titan’s competitive water polo season generally starts in mid-September and ends in late May.  We have one formal competitive registration period in mid September covering the entire season. For purposes of this policy, we will not include the partial month of September and June, and thus we will be using eight (8) months when determining refunds and late registration fees.

Refunds and Late Registration Period:

Refunds and Late Registration will be permitted up to March 31st of each water polo season.  No refunds will be issued after March 31st.

Refund Notification Instructions:

An e-mail must be received by the General Manager of the Ottawa Titans Water Polo Association (INFO@titanswaterpolo.ca ) two weeks prior to the effective date of cancellation. If you prefer, this notification can be sent via a registered letter to:

Refund – Months of Entitlement:

Refunds will be made based upon receipt of refund notification, the two week notice period and the number of full months remaining in the season.

Late Registration – Months used in Calculation of Fee:

The number of months remaining in the season is one component used in the calculation of the late registration fee.  The number of months is calculated based upon the month of registration as well as all remaining full months in the season (excluding June).

Loblaws Commitment

Each family commits to purchase $6000 of Loblaws gift cards OR to a $300 buy-out fee.  Therefore, in calculating fees for a refund or late registration, the Club determines the Loblaws commitment for each family.  This commitment is based on the number of training months the athlete has received or will receive.

For the refund, once the family has met their commitment the Club will reimburse the difference, if applicable OR will return all uncashed cheques.

Refund and Late Registration Fee Details:

The refunded amount and the late registration fee will be based upon the months above as well as the following assumptions: 

1)    Academy, Cadet and Junior players will be required to pay all competitive fees for the season.  These fee include the core competitive programme, any applicable enhanced training programmes, and participation (1st child in family only) in the Loblaws program (buyout option or commitment to purchase Loblaws coupons)  

2)   The Ottawa Titans have set $80 (includes $24 administrative fee + $56 OWP fee) as the non-refundable fee which is already included in the current core competitive registration costs.  The non-refundable fee will be included in all refund calculations. 

3)   With cause, the club has the right to immediately terminate an athlete’s registration and removal.  The club will give a prorated refund using the refund policy explained in this document, less any money owing to the club. 

4)    Fees associated with late registration are 100% due upon registration. 
 
REFUND FORMULA

To Determine Refund Amount (assuming individual has fully paid all registration fees (all cheques cashed) and is in good financial standing, otherwise any money owing is deducted from refunded amount):

Take: 
Total Session Cost:=[Cost of Competitive Programme + Enhanced Training Programmes] multiply by the ratio of remaining months (i.e., remaining months/8) less any outstanding money owing and cheques not yet cashed

Example 1: Academy/Cadet/Junior athlete (single child in family) who informs General Manager on December 17th that he/she wants a refund of their competitive fee.

    1. Total Session Cost (see above formula)

    2. Loblaws Commitment (based on # of training months)

    3. Non-refundable fee: $80 (includes $24 administrative costs + $56 OWP fee) 

    4. Monthly Ratio (see table above): 5/8

    In this example, total refund to Academy/Cadet/Junior athlete is:

      [(Total Session Cost) x 5/8] – Non-refundable fee - Loblaws Commitment = Total Refund - less any cheques not yet cashed and money still owing 

LATE REGISTRATION FORMULA

To Determine Late Registration Fee:

Take:

Total session cost (includes Core Competitive Programme and enhanced training programmes) multiply by the ratio of remaining months)

Example 1: Registered ILWP/HL player decides in week 1-3 of the 1st ILWP session to move to Competitive Programme (in September or early October) and is the 1st family member in the competitive programme:

Monthly Ratio (see table above): 1  
Note: Since the athlete is registering in October, they will pay the regular full registration fee

Total Session Cost + Loblaws Commitment = Total Cost of Late Registration. 

Note: in addition, the ILWP/HL athlete will receive a refund based upon the ILWP/HL refund policy.
